Cancellation & Refund Policy

(Payments, Refunds & Session Commitment Rules)

This Refund & Cancellation Policy (“Policy”) governs all payments, cancellations, rescheduling, and refund-related matters for Sessions booked through members.tollywoodartdirectors.com (“Platform”, “Website”), the official members’ portal of the Telugu Cine Art Directors Association (TCADA).

By booking a Session as a Client or offering a Session as a Member, you acknowledge that you have read, understood, and agreed to this Policy in full.

1. NATURE OF SERVICES

1.1 Time-Based Virtual Sessions

The Platform facilitates time-bound virtual Sessions between Clients (Film Makers and related professionals) and Members (Art Directors, Assistant Art Directors, and Production Designers). Each Session is scheduled for a specific date, time, and duration as selected at the time of booking.

1.2 Non-Tangible Services

Sessions provided through the Platform are:

  • Intangible in nature
  • Advisory, consultative, or discussion-based
  • Dependent on professional experience and creative judgment

As such, once a Session time slot is reserved, the Member allocates exclusive professional time for the Client.

2. CLIENT-INITIATED CANCELLATIONS

2.1 Allowed Cancellation Window

Clients may cancel a booked Session up to 24 hours before the scheduled Session start time.
In such cases:

  • The Client may be eligible for a refund after deduction of applicable platform or payment gateway charges, OR
  • The amount may be provided as platform credit, at the Platform’s discretion.

2.2 Late Cancellation & No-Show

  • Cancellations made less than 24 hours before the Session start time are non-refundable.
  • If a Client fails to attend a Session without prior cancellation (“No-Show”):
    • The Session shall be deemed completed.
    • No refund or credit shall be issued.

3. MEMBER-INITIATED CANCELLATIONS

3.1 Refund / Rescheduling Options

If a Member cancels a Session due to unavoidable circumstances:

  • The Client shall be entitled to either:
    • A full refund, or
    • Rescheduling of the Session to a mutually agreed alternative time.

3.2 Member Accountability

Repeated or unjustified cancellations by a Member may result in:

  • Warnings
  • Temporary suspension
  • Permanent removal from the Platform

The Platform reserves the right to take disciplinary action to protect Client interests.

4. RESCHEDULING POLICY

4.1 Time Limits

  • Rescheduling requests must be initiated at least 24 hours before the scheduled Session.
  • Requests made after this window may be treated as late cancellations.

4.2 Availability Conditions

  • Rescheduling is subject to the Member’s availability.
  • Mutual confirmation by both parties is required.
  • The Platform does not guarantee availability for alternative time slots.

5. TECHNICAL & PARTIAL SESSION ISSUES

5.1 Platform Failure

If a Session is disrupted or cannot proceed due to a verified technical failure on the Platform’s side:

  • The Client may be eligible for:
    • A partial or full refund, or
    • A rescheduled Session

Eligibility will be determined by the Platform after review.

5.2 Connectivity Limitations

  • The Platform is not responsible for:
    • Internet connectivity issues
    • Device failures
    • Software problems on the Client’s or Member’s end
  • Sessions affected due to such issues are not refundable.

6. NON-REFUNDABLE SCENARIOS

Refunds shall not be issued in the following cases:

6.1 Creative Dissatisfaction

  • Dissatisfaction with advice, opinions, or creative direction provided during the Session
  • Differences in artistic perspective or professional judgment

6.2 Subjective Outcomes

  • Lack of project confirmation or continuation
  • Failure to achieve expected creative or commercial results
  • Partial use of Session time

Creative services are inherently subjective, and outcomes may vary.

7. PAYMENT PROCESSING

7.1 Refund Timelines

Approved refunds will be processed to the original payment method within 7 to 10 business days, subject to banking and payment gateway processing timelines.

7.2 Gateway Delays

The Platform shall not be responsible for delays caused by:

  • Banks
  • Payment gateways
  • Financial institutions

Any applicable transaction charges may be non-refundable.

8. DISPUTE REFERENCE CLAUSE

8.1 Link to Dispute Resolution Policy

All disputes relating to refunds, cancellations, or Session issues shall be governed by the Dispute Resolution Policy forming part of the Platform’s Terms & Conditions.

8.2 Finality of Platform Decision

For all Platform-related matters:

  • The Platform’s decision shall be final and binding.
  • Decisions will be made based on records, policies, and fairness considerations.
